Management Professional and Staff Development

The Board of Trustees of the Coast Community College District has established the Management Professional and Staff Development Program to provide an opportunity for all district managers to expand their knowledge and increase their skills within their established career fields.

The support of the Management Professional and Staff Development Program provides positive individual professional development and contributes to achieving the mission of the District.


Obtaining Funds for Professional Events and Conferences

Maximum Annual Reimbursement:

$1,500.00 for attendees

$2,000.00 for presenters and those with an active role in conference planning


HOW TO APPLY

1. Determine Eligibility

Manager must:

  • be a full-time employee of the District;
  • have completed six months of service in a management position; and
  • establish clarity of goal and value to the District and to the manager’s personal and professional growth.

2. Complete Application

  • Complete the Application for Funds.
  • Attach documentation/supporting materials that pertain to the conference or workshop.

3. Obtain Approval Prior to Conference Approval will be based on availability of funding and applicability to the District.

  • After securing approval from the immediate supervisor, completed applications are to be submitted directly to the CDMA email at CDMA@cccd.edu. Your original application will be returned to you with the assigned budget number.
  • Complete the Conference Authorization Request form and follow routine campus procedures to obtain approval.
  • Obtain Board approval. Follow campus and department procedures for conference attendance and obtaining Board approval.

4. Upon Completion of the activity

Complete the “Claim for Reimbursement of Expenses” form (available through campus business offices and the District office).

  • Attach original receipts.
  • Include the assigned budget number that was on the approved application funds.
  • Follow campus and department procedures for securing reimbursement.

REIMBURSEMENT

Requests for reimbursement must be submitted to your site’s business office no later than June 30 of the fiscal year in which the activity was approved.

Obtaining Funds for Educational Advancement Toward AA, Bachelors, Masters, or Doctorate Degree

Maximum Annual Reimbursement:
Coursework toward AA/AS $1,000.00
Coursework toward BA/BS $2,000.00
Coursework toward MA/MS or Doctorate $3,000.00
Coursework toward Certificate $1,500.00

HOW TO APPLY

1. Determine Eligibility

Manager must:

  • be a full-time employee of the District;
  • have completed six months of service in a management position; and
  • establish clarity of goal and value to manager and the District.

Coursework completion must:

  • be from an accredited college or university; and
  • be completed on the Manager’s own time.

2. Complete Application

  • Complete the Application for Funds.
  • Attach documentation/supporting materials that pertain to the educational program.

3. Obtain Approval Prior to Taking the Course(s).
Approval will be based on availability of funding and applicability to the District.

  • After securing approval from the immediate supervisor, completed applications are to be submitted directly to the CDMA email at CDMA@cccd.edu. Your original application will be returned to you with the assigned budget number.
  • Obtain Board approval. Follow campus and department procedures for submitting the board item. A sample board item related to reimbursement for coursework is attached and available on-line at cdma.cccd.edu.

4. Upon completion of class (AA, BA, MA, or Doctorate):

Complete the Direct Pay Request and Submit to CDMA Treasurer Andrea Garcia (agarcia98@gwc.cccd.edu). (The form is available on-line at cdma.cccd.edu, or through your campus business office.)

  • Attach original receipt(s) for actual cost of tuition, books, and other mandatory fees.
  • Provide evidence of completion (e.g., grade report).
  • Attach a copy of the board item with the approval date.

LIMITATIONS

  • Employees may receive reimbursement for a maximum number of years towards any individual degree:
    1. Associate's Degree = 2 years maximum
    2. Bachelor's Degree = 4 years maximum
    3. Master's Degree = 2 years maximum
    4. Doctoral Degree = 3 years maximum

    However, if after receiving reimbursement in the maximum number of fiscal years the employee has not completed the degree, the employee will not be eligible to receive reimbursement for any future years if they are still pursuing the same degree level.

  • Reimbursement for course work will not count against the employee if they pursue a degree at an advanced level. (For example, an employee that receives reimbursement for an Associate's Degree is still eligible for 4 years of reimbursement for a Bachelor's Degree.)
  • If the total request for reimbursement submitted to CDMA exceeds the annual funding allocation, priority will be given in the following order: 1st AA Degree, 2nd Bachelor's Degree, 3rd Master's Degree, and 4th Doctoral Degree.

REIMBURSEMENT

Requests for reimbursement must be submitted to the Administrative Director of Fiscal Operations (District) no later than June 30 of the fiscal year in which the coursework is completed.

Released Time

Released time is an option for educational pursuit in lieu of reimbursement of funds with no loss of salary. All requests for released time must have approval from immediate supervisor.
